Winter Break Stay

Need to stay in residence over the Winter Break?

To stay in residence over the Winter Break (Dec. 21 – Jan. 6) students must submit a Winter Break application to the Residence Life Office for consideration. You will receive an email if your application has been approved.

The submission deadline for the Winter Break application is December 1, 2022. Applications received after this date will be subject to a late fee of $50.

Fee: $400 (charged to your ACORN account)

This fee is not pro-rated, and is a flat rate regardless of how many days you will need to stay during this time.

Reduced Service:

  • Front Desk will be closed from Thursday, December 22, 2022, to Sunday, January 1, 2023 – no mail delivery or parcel pickup. 
  • The Dining Hall will be closed after dinner service on Tuesday December 20, 2022, and reopens for lunch service on Sunday January 8, 2023. 
  • The Residence Life Office and ResNet will be closed from Wednesday, December 21, 2022, until Sunday, January 1, 2023. 
  • The last day that Housekeeping regular room cleaning services will take place is Tuesday, December 20, 2022 and will resume Monday, January 2, 2023; the reduced Housekeeping team will be available Dec 21-Jan 1 to focus on washrooms and garbage removal.
  • Bookable Spaces and 28th Floor – Closed. 

Security Procedures:

  • You must show your Winter Break keycard (and Tcard if requested) to Security each time you enter/exit the building.  
  • No guests are allowed during the break
  • Security guards will be conducting foot patrols of residence floors.

If you have been approved to stay over the Winter Break, the following rules and information apply.

Building safety, security & supervision:

  • Security staff will conduct patrols of each floor and monitor the front entrance
  • No guests are allowed during the break
  • You must show your Winter Break key card (and Tcard if requested) to Security each time you enter/exit the building. 
  • For urgent assistance, you will be able to reach a staff member by the Don on Duty phone (416.791.0420)
  • The Chestnut Community Standards remain in the effect for the duration of the break

Winter Break Check Out

All the Essential Details

As you prepare and depart for Winter Break, please take note of the following:

  • The Dining Hall will be closed after dinner service on Tuesday, December 20, 2022, and reopens for lunch service on Sunday, January 8, 2023. 
  • You can leave your belongings in your room while you depart for winter break.
  • There are no in/out privileges for those who have not been approved for Winter Break stay.
  • You are required to book a move-in time slot for your return to residence in January.
    • Login to StarPortal to book your time slot under ‘Manage my Housing’ beginning in early-November.
  • You are permitted to have up to two (2) individuals assist you as move-in helpers while moving back into residence, however, please keep in mind that residents are not permitted to have guests, including overnight guests, during the move-in period, so helpers are expected to depart as soon as you have completed your move in.
  • There will be no guests/visitors permitted on Saturday, January 7 and Sunday, January 8, 2023. Regular guest policy will resume on Monday, January 9, 2023. 
  • Please ensure you tidy your room and remove all garbage and recycling prior to your departure.
  • You will need to return your room key before you depart (you may hold onto your laundry card and mailbox key if you are returning in January). Return your room key to Front Desk when you leave or place it in the Express Checkout Box, also located at Front Desk.

Building-wide quiet hours will be be in place beginning at 11:59 PM on December 8 through to December 21, 2022 (at 12:00 PM NOON).

The exception to this is during the DAILY CONSIDERATION HOUR: 5:00 PM – 6:00 PM

During Quiet Hours, we ask that there be no noise from your room and no noise in the hallways. We also ask that you:

  • Please be considerate of others who may have begun exams before you or who may be completing exams after you.
  • Be conscious of the level of your voices and aware that noise travels down the hallways easily.
  • Do not congregate in the hallways.
  • Do not have loud, lengthy discussions in the hallways.
  • If you are on the phone, please keep your door closed.
  • If you have a group of friends in your room, please keep the door closed.
  • ABSOLUTELY no running or boisterous activity in the hallways.
  • When you complete your exams you are expected to CONTINUE to adhere to the above rules.

Violations will be addressed with a higher level of severity during the 23-HOUR QUIET HOURS.

  • Your check out date will be 48 hours following your last December exam -or- by noon (12:00 PM) on December 21st, 2022 (whichever comes first).
  • If you have concerns about your check-out date, please visit the Residence Life Office or email chestnut.residence@utoronto.ca
  • If you need to stay at Chestnut Residence beyond December 21st at 12:00 PM (noon), you must complete a Winter Break application on the StarRez portal. Please note that there is a $400 charge for staying over the Winter Break. This fee is not pro-rated, and is a flat rate regardless of how many days you will need to stay during this time.
  • You must be checked out by 12:00 PM noon on December 21, but you may stay with your belongings in Urban until you leave for your flight/train/ride etc. 

An extension of your checkout date up until December 21st @ 12:00 noon is possible for the following reasons:

  • Flight
  • Final Assignments – must provide proof of assignment due date
  • Winter Break Stay – No need for an extension as your dates will automatically be updated if you have applied for and are approved for Winter Break Stay

In order to extend your stay, you MUST provide valid proof of your need for an extension (i.e. flight confirmation, proof of assignment due date, etc.).

Submit your request and proof via email to: chestnut.residence@utoronto.ca

  • Make sure you have transportation planned for when you leave Chestnut.
  • Transportation options include the Union-Pearson (UP) Express to the airport, TTC, taxis, Uber or Lyft.
  • You will not be able to re-enter your room after check out, unless you have paid the Winter Break fee.
  • Ensure your room is tidy and all garbage is removed.
  • Double check that you have not left any perishable food or beverages in the communal fridge on your floor.
  • Garbage bags are available for students to pick up at the Front Desk.
  • Once your garbage bags are full, leave the bags at the designated garbage area.
  • When possible, throw out your garbage early so that the garbage room doesn’t get crowded.
  • Don’t leave behind any food, garbage, or other items.

When you are ready to check out for the Winter Break, please visit the Front Desk on the main floor.

Front Desk hours are 7:00 AM – 11:00 PM.

When checking out, please remember to return your Room Key. You will be provided with a new key upon check-in in January. You may hold onto your laundry card and mailbox key if you are returning in January.

If you are checking out after hours please drop off your room key in the Express Check Out box at the Front Desk. Follow the instructions posted.

January Check In

To ensure efficient check in, you are required to book a move-in time slot for your return to residence in January. This will allow for a more stream-lined and stress free move-in for all residents. Please keep in mind you are permitted to have up to two (2) individuals assist you as move-in helpers while moving back into residence, however, residents are not permitted to have guests, including overnight guests, during the move-in period, so helpers are expected to depart as soon as you have completed your move in.

MOVE-IN TIME SLOT BOOKING

  • Please login to StarPortal to book your time slot under ‘Manage my Housing’
  • All students need to select a time slot (even if your default date for January move-in is the day you plan to arrive)
  • Time slots will be available every half hour on Saturday, January 7 and Sunday, January 8 and hourly on Monday January 9 through to Sunday, January 15th between 7:00 AM -11:00PM. 
  • Don’t forget! The Dining Hall will be closed after dinner service on Tuesday, December 20, 2022, and reopens for lunch service on Sunday January 8, 2023.

Yes! You can certainly leave everything in your room. You are not required to remove your items from your room over the winter break.
